The Accounting Software Canadian Small Businesses Actually Use

Picture your first invoice as a newly-arrived freelancer or sole proprietor in Canada. You’ve done the work, you’re ready to bill the client, and you open a blank spreadsheet — the same one you used back home — and realise it has no idea what GST or HST is. Neither do you, yet.

That decision — which accounting software Canadian small businesses use, and which one you personally start on — shapes your first year of bookkeeping, long before invoices and receipts pile up in a folder nobody wants to sort through later.

Why sales tax is the thing that matters here

The first thing to establish is which accounting software handles GST/HST properly, because Canada’s sales tax system is genuinely more layered than South Africa’s flat VAT. Depending on the province you’re operating in, you’ll be charging GST alone, HST (a combined federal-provincial rate), or GST plus a separate provincial sales tax — and the rate itself varies by province. Software built for the Canadian market needs to track which rate applies to which client and which province, automatically, because doing it by hand across multiple provinces is where errors creep in.

This is the main reason a generic international tool, or a spreadsheet template from home, tends to fall short quickly. Canadian-market software builds the tax logic in from the start.

The two names you’ll hear most

So is QuickBooks or Xero better for a Canadian business? Both dominate the small-business conversation in Canada, and most Canadian accountants and bookkeepers are comfortable working in either — which matters more than any feature comparison, because you’ll eventually be handing your books to one of them. QuickBooks has the larger installed base among Canadian accounting firms, which can make finding a bookkeeper who already knows your system slightly easier. Xero tends to appeal to people who want a cleaner interface and don’t mind a smaller (but still solid) pool of local bookkeepers who use it.

Neither is objectively “better” — the honest answer is that the one your eventual bookkeeper or accountant already uses saves you both time, so it’s worth asking that question before you commit to either.

What it actually costs

Both run on monthly subscription pricing that scales with features — invoicing and basic bookkeeping sit at the lower tiers, payroll and more advanced reporting cost more. Expect this to be an ongoing monthly line item rather than a one-off purchase, and to grow as the business grows.

Where free tools fall short

Free or near-free tools exist, and some can technically apply a tax rate to an invoice. Where they tend to struggle is in the ongoing reconciliation — matching bank transactions, tracking input tax credits you can claim back, and producing the reports a bookkeeper or CRA needs at filing time. For a very early, pre-revenue stage, a free tool can bridge the gap. Once you’re invoicing regularly, the time saved by a proper system usually outweighs the subscription cost.

Setting it up early is worth the effort

The businesses that struggle later are almost always the ones that started on a spreadsheet “for now” and only moved to real software once the backlog became unmanageable. Setting up GST/HST tracking correctly from your very first invoice, even before you’re confident you understand the rules, saves a much larger cleanup job in month eight.
